Position: Senior Administrative Assistant/International Services Office
Position SummaryThis
position performs a variety of advanced administrative functions in
support of the International senior management team as well as other
departmental staff members
Essential Duties
- Provides
senior level administrative support functions to include scheduling of
appointments/meetings, travel itinerary, maintaining/managing multiple
complex calendars utilizing Microsoft Outlook, scheduling conference
calls, processing expense reports and departmental invoices. Answers
telephone calls, screens/assists callers, and or direct calls to
appropriate individual. Takes accurate messages
- Sets up and maintains highly confidential files and records
- Processes incoming and outgoing departmental mail

Creates/prepares correspondence, memos and other memorandum and
proofreads/edits all materials for final review and or signature
- Creates, generates and maintains statistical reports and creates presentations
- Tracks constantly changing schedules and maintains awareness of team's itineraries on an on-going basis
- Assists other members of the department with various projects and or miscellaneous duties as needed or requested
Qualifications
-
A minimum of 4 - 8+ years experience as a senior level Administrative
Assistant within a corporate environment; preferably from a professional
services industry
- Advanced experience with managing multiple complex Microsoft calendars, meeting and itinerary coordination

Strong background with coordinating/arranging extensive domestic and
global travel arrangements and itineraries in a rapidly changing
environment
- Advanced experience and skills with Microsoft Office to include Word, Excel, PowerPoint, and Outlook
Special Requirements specific to position
- Exceptional verbal and written communication skills to communicate at a high level with diverse audiences
- Exemplary attention to detail and the ability to accurately proofread documentation
- Ability to manage highly sensitive and confidential information with a high degree of discretion

multiple tasks, projects and assignments simultaneously while meeting
necessary deadlines
- Strong team orientation
- Possess the skills and ability to proactively work independently with minimal supervision/direction
- Possess the ability to utilize sound judgment on an on-going basis

- Possess experience, knowledge and skills to work at a high level across various global cultures
- Various bilingual skills would be beneficial
